Overview #
AI Catalog Parsing reads a product catalog you already have and turns it into structured ScopeMatch catalog entries. Each product is matched to a category with its specifications, and you review every product before anything is saved.
The same tool can also fill in your company profile from a PDF or your website (Fill profile with AI), so you can set up your profile and catalog in minutes instead of typing them in.
Plans #
Each company gets a monthly allowance of AI pages, shared by everyone in the company and with Document Intelligence: Free 1 sample page, Basic 250 (up to 100 pages per file), Pro 1,500 and Premium 7,500. The allowance resets each month on the day your plan started, and unused pages don’t carry over. On Free and Basic, you currently add your own AI provider key when you import. See Tiers and Features.
When to Use It #
Use AI Catalog Parsing when:
- You have an existing product catalog as a PDF, Excel or CSV file.
- You are setting up your profile and want to add many products at once.
- You need to add products to a supply or distribution list from a supplier or customer file.
- You want your company profile filled in from a brochure or your website.
Step-by-Step Guide #
- Open Import with AI. In your Product Catalog or Product Directory, or in the products of a supply or distribution list, select Import with AI. It opens in a new tab.
- Choose a source. Pick the AI provider and model, then add your file: PDF, Excel (.xlsx, .xlsm) or CSV, up to 15 MB. If you use your own API key, it is used for this import only and is not saved.
- Check the page count. Before reading starts, ScopeMatch shows how many pages the file has and how many AI pages you have left this month.
- Let AI read the file. The file is uploaded, then the model extracts the products and matches them to ScopeMatch categories and specifications.
- Review the match. Set each product to Import, Hold or Skip, and adjust its category or specifications where needed.
- Confirm duplicates. Exact copies of products you already have are left out until you give them a different description.
- Finish. Imported products are saved. Held products stay for review, so you can come back to them later.
Fill your profile with AI: on your company profile, select Fill profile with AI, then upload a PDF (up to 15 MB) or enter your website address. Edit what was found, then add it to your profile.
Best Practices & Tips #
Do: #
- Use text-based PDFs where possible; they are read more accurately than scans.
- Split very large catalogs into smaller files (on Basic, each file can have up to 100 pages).
- Check the category and specifications of each product before you import it.
Don’t: #
- Import everything without reviewing held products.
- Upload the same catalog twice; duplicates are left out, but the pages still count.
FAQs #
- Which files can I upload?
- For products: PDF, Excel (.xlsx, .xlsm) or CSV, up to 15 MB. For your company profile: a PDF up to 15 MB, or your website address.
- How are AI pages counted?
- Each page of a PDF counts as one AI page. An Excel or CSV file counts as one page. Pages that fail on our side are not counted; a new run you start yourself is.
- What happens on Free?
- Free reads the first page of your file as a sample once a month, so you can see a page turned into structured products.
- Is my API key stored?
- No. If you use your own key, it is used for that import only and is not saved.
Troubleshooting #
- Not enough AI pages: split the file, wait for your allowance to reset, or upgrade your plan.
- Products land in the wrong category: change the category in the review step before importing.
- The file can’t be read: check that it is under 15 MB and not password-protected.
