Overview #

When customers can see your stock availability, they ask fewer questions and order sooner. This guide sets up your Digital Warehouse and decides who can see it.

Before You Start #

  • Products in your Product Catalog and your locations on your company profile.
  • Pro or Premium. Adding stock is included on Pro (up to 100 items) and Premium (unlimited), and both can make a warehouse public, keep it private or share it with selected partners. On Free and Basic you can view warehouses that others make public or share with you.
  • Your current stock list with item IDs, quantities and availability.

Steps #

Step 1: Check your catalog and locations #

Each warehouse item links a product from your catalog to one of your locations, so make sure both are on your profile.

Step 2: Add your items #

Open Digital Warehouse and add items: the warehouse name, the location, the product, the primary item ID and any equivalent IDs, the quantity and the availability (In stock, Ready to ship, Backorder within 2 or 6 weeks, or On demand / made to order).

Step 3: Decide who can see it #

  • Public warehouse: everyone on ScopeMatch can see it.
  • Shared: only the organizations you choose can see it.
  • Private: only your company can see it.

Step 4: Let your customers know #

Customers see shared or public stock on your company profile. On Pro and Premium, they can also find it by searching warehouses by product, company or location.

Step 5: Keep it current #

Update quantities and availability regularly. For many items, export them, update the file and upload it again.

Step 6: Review access #

Check who your warehouses are shared with from time to time, and remove access you no longer need.

Tips #

  • Use the item IDs your customers already know, and add equivalent IDs.
  • Name warehouses clearly, such as Main DC or Houston Yard.
  • Keep reserved stock in a warehouse you share only with that customer.

What’s Next #

  • Find and Qualify a New Supplier: search other companies’ stock when you need it fast.
