# Document Intelligence

### Overview

Document Intelligence uses AI to read the documents your vendors submit in [Vendor Management](https://scopematch.com/docs/vendor-management/) and leaves a short summary on each one, so reviewers see the key facts without opening every file.

The summary is up to 250 words and only includes facts stated in the document. For a certificate, it covers the standard, issuer, certificate number, scope, sites and expiry date. For an audit, the result, findings, auditor and dates. For an insurance certificate, the insurer, policy number, coverage, limits and policy period.

#### Plans

Included on Pro and Premium with the Vendor Management add-on. Each summary uses AI pages from your company's monthly allowance (Pro 1,500, Premium 7,500), shared with AI Catalog Parsing. See [Tiers and Features](https://scopematch.com/docs/tiers-features/).

### When to Use It

Use Document Intelligence when:

1. You review **certificates, audits or insurance certificates** at a workflow stage.
2. Vendors send **long documents** and you need the key facts first.
3. You want every reviewer to see the **same summary** on a document.

---

### Step-by-Step Guide

1. **Turn it on.** Go to **Settings > AI preferences** and switch on **Analyze documents**. Optionally switch on **Summarize on upload** and add **Default analysis instructions** (for example, "Flag certificates that expire within 90 days").
2. **Add or open a vendor document** in Vendor Management. When you upload, keep **Summarize this document** on and add instructions for this file if needed. PDF, Excel, CSV and text files can be read.
3. **Read the summary** on the document once it is ready.
4. **Run it again if needed.** Select **Summarize** or **Regenerate** to create a new summary, for example after changing your instructions.
5. **Make your decision.** The summary helps you review; approving or rejecting the document is still up to you.

---

### Best Practices & Tips

#### Do:

- Write default instructions that match what your team checks every time.
- Compare key dates and numbers in the summary with the document before approving.

#### Don't:

- Approve a document on the summary alone.
- Regenerate summaries you don't need; each run uses AI pages.

### FAQs

  - Pro and Premium, with the Vendor Management add-on.
- **Which files can be read?**
  - PDF, Excel, CSV and text files.
- **Can the summary be in another language?**
  - Summaries are written in English by default. You can ask for something different in your instructions, for example to translate non-English passages.
- **Does it use AI pages?**
  - Yes. Each page read counts against your monthly AI pages. Regenerating a summary counts again.
